CRM Integration

Your CRM stores the data.
GoWarmCRM executes on it.

GoWarmCRM sits on top of your existing CRM — reading signals every night, firing playbook actions, and surfacing a ranked action queue for every rep by morning. No rip-and-replace. Your CRM stays as the system of record.

Connects via CRM API — no schema changes Reads nightly, writes completed actions back Live within 1–2 weeks No rep retraining required
How it fits together

The CRM is where your data lives.
GoWarmCRM is where execution happens.

A CRM is a system of record — it captures what already happened. GoWarmCRM is the execution layer that reads those signals nightly, runs diagnostic rules, fires playbook actions, and writes completed activity back. One to store. One to create consistency in action across the team.

Rep & Manager Queue
Every rep sees 3–7 ranked actions each morning. Managers see team-level execution health.
  • Ranked by urgency & deal value
  • AI-drafted suggestion per action
  • Manager view across all reps
  • Playbook progress tracked
Rep approves and acts in GoWarmCRM → activity written back to the CRM via API → the next nightly diagnostic reads the updated signal. The loop closes automatically.
What happens every night

Three things run on your pipeline while your team sleeps.

By the time your team opens their laptops, the work of triaging the pipeline is already done. No manual review. No Monday morning surprises.

Phase 01

Read from your CRM — and beyond it

GoWarmCRM connects via your CRM's API and reads deal records, stage history, contract data, and activity logs. But it doesn't stop there. It also reads directly from email (last two-way contact, response latency), calendar (meetings scheduled, cadence), and meeting patterns. Four signal sources, not one — so diagnostics work accurately even when reps haven't kept CRM fields up to date.

Phase 02

Run diagnostic rules — build a prioritised action queue

Every deal, contract, prospect, and handover is scored against configurable thresholds — stage duration, last contact date, renewal windows, ARR timing. Breaches are flagged automatically and converted into prioritised actions in each rep's queue. Playbooks fire the moment a deal changes stage. No manual trigger required.

Phase 03

Write completed actions back to the CRM

When a rep completes an action in GoWarmCRM, it writes back to the CRM via API. For Salesforce, this goes to the GoWarm Action custom object — keeping your native Task object clean, while optionally also creating a Salesforce Task if your team needs it. Your CRM stays current without reps logging in separate tabs.

CRM vs. Sales Execution Platform

What your CRM does. What GoWarmCRM adds.

These are complementary tools. Your CRM handles the record layer. GoWarmCRM handles the execution layer. Together, your team always knows what happened and what to do next.

How GoWarmCRM works with your CRM.

If you already have a CRM, GoWarmCRM sits on top of it and your CRM stays the single source of truth for pipeline data. GoWarmCRM reads from it and surfaces actions based on rules, playbooks, and AI-drafted content. Salesforce and HubSpot are supported today. If you don't have a CRM, you can use GoWarm CRM as your CRM.

A CRM is a system of record — it captures what already happened (calls logged, stages moved, notes added). It stores data well but tells your team nothing about what to do next. GoWarmCRM is a system of action — it reads signals from email, calendar, and CRM fields, then tells every rep exactly what to do that day, ranked by urgency. You need both: one to store, one to create consistency in action across the team.

GoWarmCRM reads deal records (stage, value, owner, close date), contact records, contract data, activity logs, and stage transition history. It also reads beyond the CRM — directly from email threads (last two-way contact, response latency), calendar events (meetings scheduled, cadence), and meeting patterns. This four-source approach means diagnostics are accurate even when reps haven't kept CRM fields current.

When a rep completes an action in GoWarmCRM, the activity is written back to the CRM via API. For Salesforce, completed actions are tracked in the GoWarm Action custom object — keeping the native Task object clean and free from automation interference. An optional configuration also writes a corresponding Salesforce Task to the linked Opportunity or Contact, for teams that rely on the native Activity timeline. The rep acts once; the CRM updates automatically.

GoWarmCRM does not modify your existing CRM schema. For Salesforce, a lightweight managed package — distributed as a private install link, not an AppExchange listing — installs the GoWarm Action custom object, a net-new object that does not touch Opportunities, Contacts, Tasks, or any existing standard object. Stage configurations are mapped in GoWarmCRM to match your existing stage names. Your CRM admin has nothing to reconfigure.

1–2 weeks, with no rep retraining required. For Salesforce, setup involves: installing the GoWarm managed package from the private install link we provide, OAuth authorisation, mapping your stage names, configuring diagnostic thresholds, and seeding your playbooks. The nightly run starts immediately after setup and reps see their first action queue the following morning.
